Integration
Every Google Meet call, filed on the matter.
LegalMate joins the Google Meet calls on your calendar, writes the summary, drafts the follow-up email, logs the time and files it all on the right matter in your practice management system, Clio and Filevine included. Nobody at the firm types a thing.
How it works
From the meeting to the record on the matter, without anyone typing
Nothing changes about how your team takes a client meeting. The LegalMate notetaker joins from your calendar and does the writing.
01
Take the meeting like you do today
Google Meet, from the Outlook or Clio calendar invite. The notetaker joins about a minute before the start. Nobody opens Clio during the meeting.
02
The LegalMate agent reads the transcript
It pulls out what was decided, who owns the next step and which matter the meeting belongs to, the way a paralegal would.
03
The matter gets the record
A communication with the AI summary, a time entry with a written description and a drafted follow-up email, on the matter in Clio or Filevine, ready to bill.
Setup
Live before your next client meeting
One connection, one toggle per person and the firm settings you already know from calls.
01
Connect your calendar
Connect your calendar and email in one step. The notetaker picks up the meeting link on every invite. We set it up, together with your practice management system, with you on the onboarding call.
02
Turn the notetaker on
Each person switches on “Meeting Notetaker” under Settings › Call & message syncs, and picks client meetings only or every video meeting.
03
Set the firm rules once
Firm owners choose the matter rule, the AI summary, the communication on the matter, the time entry, who is billable, the minimum meeting length and the follow-up email.
We connect your practice management system and your communication tools with you on the call in less than 30 minutes.
On the matter
What lands on the matter after every Google Meet call
Each meeting becomes a complete record on the matter in Clio or Filevine, written by the LegalMate agent before anyone is back at their desk.
A communication with the AI summary
What was discussed, what was decided and the action items, logged as a communication on the matter or the project.
A structured note
Decisions, open questions and tasks from the meeting, written the way a paralegal would write them.
A time entry with a written description
The meeting’s length and a description of what was discussed, for the users you mark billable, ready for pre-bill review.
A drafted follow-up email
Written after each meeting, shown on the meeting page and added to the communication on the matter when that is on.
Filed on the right matter and contact
Attendees are matched to their contact in Clio or Filevine from the invite and the meeting’s participants, then to the open matter. A wrong match is one click to change.
The transcript and key quotes in LegalMate
Every meeting sits beside your calls and texts in LegalMate, with the full Google Meet transcript and the quotes that mattered.
What disappears
The admin that no longer sits with your team
The work between the meeting ending and the record being right on the matter is where billable time goes missing.
Writing the meeting note
Typed from memory later, or skipped on a busy day.
Written by the agent and on the matter before the next meeting starts.
Logging the time
Reconstructed at the end of the week, often rounded down.
A time entry with the meeting’s length and a description of what was discussed.
Filing it to the matter
Someone finds the right client and matter and attaches it.
Attendees matched to the contact and their open matter.
Sending the follow-up
Written that evening, or forgotten.
Drafted by the agent on the meeting page, ready to send.
Remembering what was promised
Lives in one person’s head or on a notepad.
Next steps and key quotes are in the note, and the agent can answer “what promises were made”.
Knowing what the firm’s meetings cost
Nobody knows.
Owners see meetings, recorded minutes and people this month, in Settings.
Matter matching
How LegalMate picks the right matter
Rule-based, so it behaves the same way every time. Attendees are matched to your contacts in Clio or Filevine from the calendar invite and the meeting’s participant details: an existing link or a unique email first, phone or name as a fallback. Here is what happens to each meeting.
Ask the agent
Ask a question, get an answer from every meeting

FAQ
Google Meet integration questions, answered
Can I send the notetaker to a meeting that is not on my calendar?
Yes. Click “Send notetaker”, paste the Zoom, Google Meet or Microsoft Teams link, and it joins as soon as you send it. Add participants so the meeting is linked to their matters.
How do I remove the notetaker from a meeting?
Anyone in the meeting can type /leave in the meeting chat and it leaves. You can also switch it off for a single meeting from the diary in LegalMate before it starts. [3]
Does LegalMate log emails into Clio or Filevine?
No. Email is searched and surfaced by the LegalMate agent when you ask a question. It is not logged into Clio or Filevine.
Where are meeting transcripts stored, and who can see them?
The transcript stays in LegalMate under your firm’s account. LegalMate does not store the audio or video recording, only the transcript. Clio or Filevine receives the summary, time entry, follow-up email and link. See our privacy policy for retention.
